How Much Do Business Central
Licenses Cost?

Microsoft Dynamics 365 Business Central is licensed as a subscription-based cloud service. Your cost depends on the number and type of users, and on the subscription term you choose:

  • Monthly term: The most flexible option. You can add or remove licenses as your team changes, but the price per license is usually higher.
  • Annual term: The most common choice. A one-year commitment keeps costs predictable and lets you review your license count each year.
  • Multi-year term: A two- or three-year agreement locks in pricing and protects you from future increases, with less flexibility.

Whichever term you choose, licenses are assigned per user. Business Central does not offer concurrent licensing, so 12 employees using the system means 12 licenses. Microsoft offers Essentials, Premium, Team Member, and Device licenses, so you can match access to each role.

How Much Do Business Central Licenses Cost?

Business Central pricing is built around user roles, and each license type unlocks a specific level of access. Essentials and Premium are the two full-access licenses, meant for people who work in the ERP every day. For employees who need only limited functionality or access through a shared workstation, Microsoft also offers the lighter Team Member and Device licenses.

  • Full User – Essentials: USD $80.00 per user, per month. Covers all the core capabilities of a modern ERP, except manufacturing and service management.
  • Full User – Premium: USD $110.00 per user, per month. Includes everything in Essentials, plus manufacturing and service management.
  • Team Member: USD $8.00 per user, per month. A light license for users who mainly need to view data, approve workflows, and record basic information, such as logging time against a project.
  • Device License: USD $45.00 per device, per month. Covers a single device shared by many people, such as a cash register or a shop floor data collection kiosk.

Note: All full users must be on the same license, either Essentials or Premium. You cannot mix the two.

  • Advanced Financials+: from $39,995, 8 to 12 weeks. Adds sales order, purchase order, and inventory processing.
  • Advanced Financials+ Retail: from $50,000, 10 to 12 weeks. Adds manufacturing and service management, and is scoped to your requirements.

Custom functionality, additional reports, and integrations are quoted separately. Ask any partner you are considering for a detailed estimate before you commit.

Ongoing Costs

Microsoft Dynamics 365 Business Central Ongoing Costs

Like other cloud solutions, Business Central is priced as a subscription. Your monthly cost depends on the number of users, the license each one holds, and any add-on modules you choose. Microsoft releases two major Business Central updates a year, in April and October, at no extra charge.

Every Essentials and Premium license includes customization and extensibility options, multiple environments, and support for multiple companies. Support is the other ongoing cost to plan for. Microsoft offers support plans, and most partners provide their own. Nevas Technologies offers ongoing monthly support at $2,500 per month for 15 hours, on a 12-month commitment.
